Refund & Cancellation Policy

This is a template refund and cancellation policy provided as a starting point — including the specific refund window in Section 3, which is a business decision, not a legal one. Review it with a qualified lawyer or CA before publishing, decide the refund window that actually works for your business, and fill in the placeholders marked in brackets.
1. What you're buying
Claudphic CRM ("the Service") is a subscription-based software-as-a-service product delivered entirely online. There is no physical product and nothing is shipped — access to your workspace is granted automatically once your card is verified at signup. This policy covers cancellations and refunds for the actual subscription; it does not cover the small card-verification transaction (typically around ₹1) Razorpay places at signup for the Free Trial plan, which is not a charge for the Service and is not something we control the amount or handling of — that plan has its own no-charge cancellation option, described in your workspace's Billing settings. All plan prices shown on our pricing page include 18% GST; nothing is added on top at checkout.
2. Cancelling your subscription
You can cancel at any time from your workspace's Billing settings, or by emailing crmclaudphic@gmail.com from the email address associated with your account. Cancellation stops future billing — it does not itself trigger a refund for the current billing period. When you cancel, your workspace stays active and fully usable until the end of the period you've already paid for, and will not be charged again after that.
3. Refund eligibility
Because this is a digital service delivered instantly, refunds are handled differently than they would be for a physical product. The following cases are eligible:
3-day cancellation window: Every real charge on a paid plan — your first-ever subscription payment, or the prorated amount charged when you upgrade to a higher plan — can be cancelled within 3 days of that payment for a full refund, directly from your workspace's Billing → Payment history screen, no questions asked. Cancelling this way reverts your workspace to whatever plan (or no plan) it was on immediately before that charge. This does not apply to ordinary monthly renewal charges for a plan you've already been using, or to the Free Trial's card-verification transaction (see Section 1).
Duplicate or erroneous charges: If you were charged more than once for the same billing period, or charged an incorrect amount due to an error on our part, the difference is refunded in full — this has no time limit and is not affected by whether you've used the Service.
Service unavailability: If a technical fault on our side keeps your workspace inaccessible for an extended period and we're unable to resolve it within a reasonable time, you can request a pro-rated refund for the affected period.
Not eligible: Renewal charges for a subscription you didn't cancel in time, refund requests made after the 3-day window above has passed, and refund requests based on not having used the Service (rather than it not working) are not eligible.
4. How to request a refund
Email crmclaudphic@gmail.com with your workspace URL, the email address on the account, and the reason for the request. We aim to respond within [2] business days. Approved refunds are issued to the original payment method via Razorpay and typically reflect in your account within 5–7 business days, depending on your bank or card network's own processing time — this part is outside our control once Razorpay initiates it.
5. Plan changes
Upgrading to a higher plan takes effect immediately; you're charged the difference for the remainder of the current billing period. Downgrading takes effect at the start of your next billing period — you keep the higher plan's features until then, and are not charged a partial refund for the difference.
6. Failed payments
If a renewal payment fails (expired card, insufficient funds, bank decline), we'll attempt to notify you and retry before any access is restricted, rather than cutting off your workspace the moment a single charge fails.
7. Chargebacks
If you have a billing concern, please contact us at crmclaudphic@gmail.com before raising a chargeback with your bank or card issuer — most billing issues can be resolved faster this way, and it avoids the account holds a chargeback investigation can cause on both sides.
